Online-Live Training Connection and Settings

 

Hello Folks welcome to DegreatCode ICT Limited,

In this tutorial. I will be showing us how  to connect to online-live training (OLT) / Online Open Solution  (OOS),

Or how to join online meeting using Zoom , I will be emphasizing on how  you can connect to online live training, any time we have an online live training. Even though its not ours, you can use this procedure  we  will show  you to connect to it.

I want us to know the resource needed before you can connect to online live training.

We will discuss about this resources in detail.

So, the resources needed to connect to online live training are,

·        You need a laptop device .

 The Laptop device must support speaker and Microphone.

To know if your laptop support speaker, simply play a song or any audio song on your laptop. Once audio sound comes out, It means the speaker is working. You can also try a video file instead.  

Your Laptop device must support a microphone (This is optional), Down the screen of this requirement, you will see a Mobile Phone for Microphone support. So if your laptop does not support a microphone, you can use your mobile device ( Android or Apple phone).

>>> The good question is “How do you know whether your laptop support microphone or not”.

What am gonna do know is to quickly move into the Laptop system and show you guys how to know if your Laptop support microphone or Not. Lets go down to the business. We need to check it in device manager, Follow the below steps to goto device manager.

Make sure you are on the desktop ,  Click on “This PC” , Right click and an option menu will come out. I will select properties or manage, but if you select properties, you will need to select device manager. 

The one we will be selecting is manage, 

which will still show me same thing.  both manage and properties  will take us to same place we intend to land. You need to be patient , after clicking on manage. 

It will take couple of seconds to open. once it opens, select device manager.   computer management screen will open. You now select device manager. So there a two ways you can get to device manager, either through properties or through manage. So having being on the device computer manager,  You will see all the devices connected to your computer system.

 We are going to emphasize on the reason why we open this device manage. The reason is because we want to check if the system support microphone . Click/expand on audio input and output, Please  if you see manycam virtual device or any virtual device or related, that virtual device is not a real microphone, ignore virtual microphone. Don’t be confuse with virtual Microphone (is not supported). It’s a software virtual microphone. If you see Speaker, this mean your speaker is working.

Note; Contact any computer maintenance and repair  to fix yellow flag If there is any yellowish warning sign (Yellow flag on any device / Yellow ! ) on Microphone or speaker.

If you go down to the screen you will see sound as High definition audio device, it means your speaker is working. 

To check For Microphone, Click or expand  Audio input, Output;  You will see microphone if your device support microphone. But if microphone is not supported in the system, don’t say your computer can not do it. Your computer can still do it. Read down below, you will see how to use Mobile phone as microphone and speaker.

So lets go down to the next resources needed.

Note,  must we need a laptop to undergo, online live training,

If it is a church program,  you don’t need a laptop, you simply need a smart  mobile phone only.

You need a  laptop once it has to do with programming/ coding, or computer keyboard  work or operation.   Programming , coding ,  whether your are app developer, website developer, and you want to under go online- live training with us or any other firm. You must need a laptop/ computer system. You need a laptop to undergo that training. Weather its graphics work. You need a computer system. Like I said earlier, if it’s a church program, or program that has to do with talk, you don’t need a computer system, you simply need a phone.

So as long as you are in our training, if you want to join fully and   participate 100 percent and work with us, and to concentrate on your work, you need a laptop system.

 We do with all these programming  things  your are seeing on the screen,

Data Science and data analysis, Computer programming , website application development, android application development, A.I (Artificial Intelligent) , Desktop application development, Digital Marketing ,  Database and others. As long as you are in any of this professional program, you need a laptop, starting from website application development and  downward including graphics design. So that is it about the laptop. So if your are going for any of this, you need a laptop, starting from website application development till the end/downward.

 

>>>>> Another question that will be running on your mind is Let Say, You Laptop  device does not support microphone, and you want to use your Mobile device as microphone and How do we make the laptop support microphone, if laptop does not come with microphone.

Let me answer this first,  How do we make the laptop support microphone, if it does not come with microphone.  

First your laptop need to have Bluetooth support, if it does not support Bluetooth, purchase/ get external Bluetooth device and attach it to your laptop.

Then purchase either wireless  earpod, or  wireless headset/headphone.  Headset/Headphone is two in one earphone support. Headset, means earphone microphone, Headphone simple means earphone speaker. That is a earphone that support both Microphone and Speaker. Microphone takes-in sound (accept sound/ input sound) while speaker gives-out sound (output sound).

Example of a good wireless  headset/headphone is  HB3 power headset.

Why we recommend Wireless type, is for your flexibility during training.

So we will move to the next level,

·    The next level is zoom software.

Although there are other  software that you use to join online live-training, Like TeamView and Google Meet. All depends on the administrative / trainer’s instruction, If the instruction say “Use teamview not Zoom” install teamview.  But we “degreatcode ict Ltd”  recommend using  Zoom.

>>>> Another question is how do we install the zoom. Is it in our mobile phone, or in the laptop computer system. Let me jump this question, because if i answer it, it will cover every thing.  I want to explain things next thing, down the screen.

Remember If your Laptop does not support Microphone, You need  have a smart  Mobile device ,to  use your mobile device as microphone you will always likely to bring it close to your mouth, or  use a tripod stand or constructed stuff that can stand or hold your phone, You can also drop your mobile device on a table that is not far away from your mouth.

 So back to this question: how do we install the zoom. Is it in our mobile phone, or in the laptop computer system.

You have to install zoom in Your Laptop computer (This is very important), and also install it in your Mobile Phone (Optional).  If you are doing programming work, graphic, Professional training or laptop keyboard work, Your must install zoom on your laptop.

 To install it download it and install.  Download link  for laptop zoom . The installation is free, The payment cost is always on the Teacher/ administrative side. In our own side (administrative/ teacher side ) there are ways to handle expenses. You as the student or trainee, simply  Download and Install  it is free for you.

So if you are not doing any practical work,  you can use zoom on your mobile device.

You can download zoom for mobile device, from playstore:

Apple Playstore for Apple Phone,

Google playstore for Android Phone.

So its always important to install zoom in your Laptop.

So that is it.

We move to the next resources needed,

·  Yo .You need a tripod stand (this is optional),

You can keep your mobile device on the table, or hold it by the hand if you can. But for more comfort ability, you need a tripod stand. Just like mine here, I can easily hang my phone there and use it during training.

The next thing is that you need an

·  internet connection.

You need to have good network connection and purchase data bundle. In Nigeria, 300 naira for 1gb a day is enough for trainee/ student to participate into an online –live training. You can hotspot your laptop using your mobile phone, or use laptop modem  to provide internet access to the computer system.

Alright, I jump one resource needed,

·     You need whatsapp .

 Whatsapp has to be install in your mobile phone. Whatsapp or any other social media platform, it can be facebook messenger. We strongly recommend whatsapp. If the administrator say please use whatsapp. Please kindly use whatsapp. Obey the administrator /teacher.

The next question that would be running in your mind is,  do we still need whatsapp in the laptop system. The answer is yes. We need whatsapp in the laptop computer. That  lead us to the last  thing in the resources required, know as Opera Browser (Not operamini browser) , I said Opera Browser.

In your  laptop  device , download and install the latest opera browser.

 Why we use opera browser is because, Opera browser comes with  a whatsapp  plugin.  

 You call the above  pointed image a Whatsapp extension or addons or plugin. So once you installed opera browser, you do not  have to install whatsapp in your  laptop. You can still have whatsapp directly install in your laptop if you want, but why we recommend opera browser is to reduce the heaviness and stress in your computer system, so that you can browse and replay to chat at same time.    Once your opera browser is installed. It  can serve as a browser and as a whatsapp at same time. Although you can archive this with other browser but additional configuration will be required, We move with Opera Browser.

So install opera browser in your laptop (not in your mobile phone), Its very very important. Install Opera browser not operamini browser.

Lets say all these resources are set and available and good to Go for the training ,

>>>>> This question that will be running in your mind, is how can you connect your mobile phone as microphone  during the training or before the training start, How do you  connect  the  whatsapp in your laptop to  the whatsapp in your phone  , whatsapp in the phone to the zoom in the laptop, Zoom in the laptop to  whatsapp in the phone.

HOW DO WE DO THE CONNECTION ?

Relax and feel free, I will show you how to do the connection.

The first thing to do is to open opera mini in your laptop,

The second thing is , open whatsapp on your phone.

Before we continue, why do we use whatsapp. Whatsapp help us to transfer text and sharing of links, file, information  during the communication.

 The answer is , the whatsapp in the phone allows us to share links to the whatsapp in the laptop ,  and we can easily copy the link from whatsapp in the laptop to The zoom in the laptop. Whatsapp helps us to update the other person when there is network failure in the laptop zoom, so that the person will know when something is wrong.

Note, once whatsapp in the phone is connected to your whatsapp in the laptop, both will be seen as one whatsapp account. So any message that comes into one happier in the other whatsapp.   will be use for virtual training. So whatsapp makes the chat more lively and increase concentration and communication during the training. Teacher and Student can easily communicate through whatsapp. It makes the training more handy.

·        How do we link the whatsapp in you phone to the whatsapp in the laptop ,  so that both will be seen as one whatsapp account.

This is how,

First make sure you have internet connect in both your phone and laptop.

 

Open whatsapp in the phone.

Open opera browser in your laptop and  click on the whatsapp at the left side of opera browser. If you don’t see whapsapp in your opera browser try to update it.

 

The laptop whatsapp barcode image will try to open. That is expertly what will happen in your computer system. Laptop whatsapp will give you directive on how to connect your phone whatsapp to it. 

The first thing in the  directive is :

Open whatsapp on your phone,

And I have open mine as you can see.

Second thing is ,  click on the menu (doted vertical line on the top right side of your phone device), here we  strongly tell you to first Click on the chat tab before clicking on the menu . The chat tab is close to the “ community image”. Chat tab  Is the second tab in the list. After clicking on the chat tab,  you can then click on the menu (doted vertical line on the top right side of your phone device). Once link devices opens,  you will see an option saying “Link a device”.

I will click on linked device then select "Link a Device" in the mobile-phone whatsapp, finaly select "use mobile data" for connect to be successfull.

Sometimes, the laptop whatsapp will ask you , do you want to use a mobile data, select Yes "use a  mobile data". 

This process will ask you to unlock your mobile device if its under screen lock control.

Phone whatsapp will auto enable phone device camera to  scan the QR code on the whatsapp. Simply bring the phone camera (back camera) close to the laptop screen and position the camera directly to the qr code- image on the laptop whatsapp. 

 The whatsapp will auto capture the Bar code on the laptop whatsapp. Please wait for the connection, synchronization  and  login to complete. Once it completed, what you have in the  whatsap in the phone will show in the whatsapp In your laptop. Any received message from another person or friend will show in  both device (Laptop and Phone) . Your phone and Laptop  will be seen as one whatsapp account. Message in one of the whatsapp will show in both of the device.  You can send whatsapp message through your Phone or through your  laptop device. The whatsapp on your  phone is same whatsapp on your laptop. You can see that communication is very very easy.

 Let me use an example.

Lets just say some one sent a link to me on whatsapp, example http://www.degreatcodeict.com. Using  my laptop device, I can easily copy the text link. I will highlight, right click and select copy. Here I am on my laptop and I copied the text in my phone.

So this is the reason why we need a whatsapp. So that you can easily copy text, message, link , information located in your phone using your laptop. And use the copied text any where in your laptop or as instructed by the administrator. This is very important. When you get your whatsapp, link it to your laptop. Know that we now how to transfer text or file or link  from laptop  to phone, or from phone to laptop using whatsapp.

·        The next level is ; How to use zoom. Am done with whatsapp lets open zoom.

Open your zoom (if its not there, download and install it). It may take couple of seconds to open, be patient, don’t rush, allow it to finish with its background tasks, Just wait for it to finish its magic. If your are opening it for the first time it will ask you to login . Administrator and  student or trainee must login before using zoom  . In mine own case, I have already login.  But if it ask you to login first, select “G” image  button (this “G” represent Google button), once you click on it, it will automatically  take you to your default web browser,   where it will  tell you to enter your gmail and password.  Fill-in your email and password. After a successful login, return back to the installed zoom, you will be on these same screen with me.

 

ü Alright lets say, you are appointed to be administrator and you want to  create a class/ Meeting.

The following show how to create a zoom  class/ meeting

New Meeting section is for the trainer/ teacher/ admin. If am the trainer, this place is for me to create a new meeting, Or you are instructed to create a “new meeting” . New meeting create a virtual class immediately.  Simply click on the “new meeting”  button.  If you enable, personal meeting id, It simply means that any time you create a meeting, the link will remain the same. Meaning that people that use my link yesterday after personal meeting ID is on, they  can still use that same link to connect to the meeting. If the admin say please enable personnal meeting id, please enable personnal meeting id. So that the trainee / student will follow up with previous link. If the admin say, please use the old link to connect, it means admin have enable ” personal meeting ID”. If the admin send a new link to connect, you simply connect with the new link. Always obey instruction.

Let me turn off “personal meeting id”  and create a new meeting. Ensure you have good internet connection. When you click on the “new meeting”  it will take you to the screen we are currently  on. Please my own webcamera has being  doing some underground work , because am recording the screen. My webcam is in used by another software, so that is why you  are not seeing me on the screen. If I should  start webcam in zoom , My screen recorder have to stop, of which I don’t want to start.

You can also check the computer microphone or speaker.

ü After creating a class how can you share/invite other people to join.

Still on the current screen / class room, Look down at the bottom of the screen you will see participant. Click on participant, Two buttons will show,

(1) Copy Invitation Link.

(2) Copy Invite.

 

Note : User must need passcode to connect to the link.

 

Copy invitation link, will only copy link, and ignore the passcode.

While copy invite will copy both the link and the passcode.

We always, recommend using copy invite.

Because when you use “copy invitation”, you will still need to tell the student/trainee the passcode.

When you copy the link, you can share it to any where. In our own case, we (administrator) will

Share it on whatsapp (to share means to paste the link to targeted audience on whatsapp)  . Because this is one of the reason we have to include whatsapp on this tutorial.

So admin will be sharing copy invite.

Note,  another name for meeting link/invitation link/invite link

is “meeting Id”. Although the id is always inside the link.

Note: while inviting someone do not “end meeting” you can leave a meeting. Once you “end meeting” no one will be able to connect.

Ø After invite link is shared,  Trainee / students can now join using the link.

As a student,  to connect into a class room/ meeting.

(1) Open the zoom  in your laptop (if you don’t have laptop, you can use mobile phone but steps bellow are for laptop user),  if zoom  ask you to login,  then Login.  I have  shown us  earlier in this video on how to login in to zoom. You can follow that procedure to login.  

(2)  Copy the invitation/invite link sent to you by the admin or instructor or. In our own case, copy the  invitation/invite  link that was sent to you on whatsapp/ whatsapp group. Whatsapp in the opera in  your laptop.

The link is your meeting id.

(3) Go to your zoom, Click on Join (not new meeting),

Paste the link in the field  that say “meeting id”

The value will auto change to numbers.

(4) Return back to whatsapp, Copy the passcode. If you didn’t see the passcode, ask the admin/teacher to provide the passcode.

(5)  Return back to zoom, pest the passcode.

(6) Click on connect.

(7) Wait for admin to approve your connection to the meeting.

Note if your are the person that create the meeting or class,  when you click on “join meeting “ it will not ask you to enter meeting id and passcode.

In my own case, it does not ask me for meeting id and passcode, because am the same person that create the meeting.

 

ü After a student connect, Admin or instructor or teacher  have an important thing to do again.

Admin have to approve each student connection, to do this, you must return back  to zoom ( join the meeting if you leave meeting), while on that meeting,

click on participant at the bottom side of the screen, look at the left side of the screen, you will see people that wants to connect. Click on each of them and approve the connection one by one or select approve all.
